What is a remote online Notarization?

Remote Online Notarizations were permitted as an emergency service in North Carolina during Covid restrictions, and state law was passed in July of 2023, House Bill 776, to allow RONs permanently. The state has since been working to establish guidelines and standards ahead of the law being enacted, Emergency Video Notarizations abilities have been extended to July 1, 2026.

A Remote Online Notary (RON) is a Notary Public who performs notarizations remotely using audio-visual technology (such as video calls), rather than requiring the signer to be physically present. This service allows individuals to get documents notarized online with signer and Notary in separate locations.

The Remote Online Notarization process involves the following key steps:

Audio-Visual Technology
The notarization takes place in real-time via a video call, during which the Notary and the signer communicate.

Identification Verification
The Notary must verify the identity of the signer using approved methods, such as credential analysis or personal knowledge, along with identity proofing via video conferencing.

Electronic Signatures
The documents are signed electronically, and the notary’s electronic signature and seal are affixed to the document.

RON offers a convenient alternative for people who need notarizations but cannot meet with a notary in person due to location, time constraints, or other reasons.

Online Video Notarization allows for the same convenience of having documents notarized via video conference but still requires that documents be physically signed, stamped and scanned.

What is the Video notarization process?

YOU WILL NEED

  1. Identification

  2. A Smart phone, tablet or computer with audio & video capabilities

  3. Your UNSIGNED document to be notarized

  4. Ability to scan and send the document. Many smart phones have “scan” capabilities

  5. You MUST be physically located in the state of North Carolina during the video notarization

  6. A quiet place to conduct your video notarization

  7. You will be responsible with verifying that a video notarization will be accepted for your document.

PRIOR TO APPOINTMENT

  1. Identification A photo of your valid and current identification will need to be sent prior to the video notarization appointment. You will also need to show this same ID during the video notarization.

  2. Document The UNSIGNED document will need to be sent prior to your video notarization appointment.

  3. Location You MUST be physically located in the state of North Carolina at the time of the video notarization. During the video notarization you will be required to state that you are physically in North Carolina and which NC County you are currently located in..

VIDEO CONFERENCE PROCESS

  1. The Video Online Notarization will be conducted via Zoom and you will be sent a link prior to the scheduled appointment. You will need to be in a quiet location on a phone, tablet or computer that has AUDIO & VIDEO capabilities. The entire video notarization will be recorded.

  2. You will need to state your current physical location (State of North Carolina and the NC County you are currently located in)

  3. You will need to state that you can hear and see me

  4. You will need to provide the name(s) of any other people in the room with you during the video notarization

  5. Details will be reviewed such as the date, time, your name and the type of document you are signing

  6. You will sign the document when instructed

After Video Notarization

You will scan and send your signed document asap (MUST BE RECEIVED ON THE SAME DAY AS SIGNING)

Your document will be notarized and sent back to you the same day
